SAP Material Account Determination Error

Problem : While posting stock or while performing PGI, some of our SAP Training students have got the following problem with Material Account Determination.

“Account Determination for entry INT GBB ____ ____ 3100 not possible”

Solution : This is purely an MM Configuration, but since you are not undergoing SAP MM Training, you would have to solve the problem yourself.

Step 1 : Go to Transaction [ OBYC ] and select the Transaction GBB and double click.

Step 2: Enter the Chart of Accounts in the pop-up – In this case INT

Step 3 : The error was related to a missing entry for valuation class 3100. Let’s maintain an entry there and save it.

Now you can finish the transaction.

How to Save and retrieve Searches in SAP CRM Webclient UI

Searches in SAP CRM Webclient UI can be saved for quick retrieval. For example, if you want to have a quick  canned search for all the orders created by you, then you can save the search based on who has created the order and use the “Saved Searches” functionality to retrieve it. Here is an example.

Go to Sales Order Search functionality on the SAP CRM Webclient UI. ( Go to Sales Cycle work area and under the “Search” section, click on Sales orders )

 In this case, we want to find out all the orders created by me. So, select the created by in one of the selection criteria and enter the user id.

Once you make sure you are getting the desired results, give a name in the “Save Search as” field and click on the save button. This search will now be visible for you under the “Saved Searches” section to the top right corner.

Assignment Blocks not visible in SAP CRM Transactions

Problem : Some of our SAP CRM Training folks had problems identifying certain data in the sales transactions like Org Data etc. It was not available in any of the assignment blocks

Solution : Go to Personalization button on the top right corner of the transaction.

Select from the available assignment blocks or remove from the displayed assignment blocks if required as shown below.

SAP Material Master NOT defined for Sales Org distribution channel division

Problem : One of our SAP Training student has faced this problem when trying to create his own material master.

“Material XXX is NOT defined for Sales Org , distribution channel , division ”

Solution : There could be a couple of reasons for this, but the first check that should be done is to find out whether the material is actually created for the said sales organization, distribution channel and division.

Go to the SAP Material Master, enter the material in question and hit enter. As you can see from the picture below, the Sales Org 1 and Sales Org 2 views are not even there. That is the reason why the system was throwing the error.

Start creating the Sales Org views of the material master as follows.

Step 1 : Go to material master creation ( extension in this case ) MM01

Step 2 : Enter the material in question and hit enter. The Industry sector and Material type will already be selected ( as created during the initial MM01 transaction – More on the concept of Material master extension during the SAP SD Training class )

Select the missing views ( in this case Sales Org views ) and then hit enter.

Step 3 : Enter the Sales org , Distribution channel and Plant.

Step 4 : Fill the Sales Org Data as discussed in the SAP Material Master class.

Now create the SAP sales order and it should work just fine for the respective Sales Area.

SAP Item Category Determination – Manual vs Automatic

Problem :  How to do manual SAP item Category Determination in SAP SD  ?

Solution : Both Automatic and Manual Item Category determination are done in the same transaction [ VOV4 ] or Menu path = [ spro -> IMG -> Sales & distribution -> Sales -> Sales Documents -> Sales document Item ]

As shown in the picture above, the column ( DfItC ) Default item Category highlighted in red is the one that is determined based on the combination of Sales Document Type + Item Category Group.

If the business demands that they be able to manually over-ride the automatically determined item category, then you can add more item categories in the (MItCa ) Manual Item category Section.  Here is an example.

SAP has automatically determined an item category of TAN for the line item 10 because, the order type is OR and the item category group of the material M-01 is NORM.

The users can choose to over-ride the SAP determined item category based on the possible list of item categories you have specified in the Manual item categories tab. The user can choose the possible list of manual item categories from the possible list of values in the item category as shown below.

SAP CRM Product Master – 2011 Version

Here is a simplified version of the SAP CRM Product Master.

Summary : In this SAP CRM Training class we have discussed the simplified version of the SAP CRM Product Master.

Exercises :

  1. Create a Product Master from the SAP CRM Webclient UI with the following characteristics
    1. Product ID : Laptop-xx  ( Write down the product ID you have created )
    2. Product Description : Laptop xx
    3. Base Category : Finished Goods  ( Write down the Base Category code you have used to create finished goods.
  2. Open the same product in the SAP GUI. What is the transaction you used ?

 

How to Create new Attributes for Organizational Units in SAP CRM ?

Some students from our SAP CRM Training classes were curious as to how to create new Attributes for Organizational Units in SAP CRM.

Solution : Although this is NOT a common scenario, they are defined in the database table T77OMATTR. The maintenance view for this table is OOATTRCUST. The attributes that we are talking about are the ones that you see in Organizational Management in SAP CRM [ PPOMA_CRM ]

The attributes in this case are Activity Reason, Country etc for the Service Function and for the Org unit “IDES Incorporated”.

Let’s say you want to add one more – Say “Postal Code Extn” ,

 

Step 1 : goto [ OOATTRCUST ]

Step 2 : Go to Attributes and either create your own or copy an existing attribute that resembles the type of attribute you want to create.

Step 3 : Go to  Scenarios and select the corresponding function – Service in this case. Step 4 : Create a new Attribute with the respective selections like inheritance, required/optional etc.

Step 5 : Enter the new attribute in the object type as well.

Step 6 : You can see the Postal code 2 in the new Organization unit.
