SAP Material Sales Views- SAP Sales & Distribution Training Series – Feb 2011 Batch

Yesterday, we have discussed Material Master Basic View 1 and Material Master Basic View 2 in the class. Today, we have discussed the Material Master’s Sales Views and here is a brief Summary.

Summary : We have discussed that although the SAP Material Master – Basic Views are constant for a material, the Sales Views could vary between Sales Organizations. We have discussed some practical situations where such data is useful. We have also discussed the business significance of the most important fields in the Sales View of the SAP Material Master.

We have also learnt that there are other fields like “Availability Check” , “Item Category Group”, “Account Assignment Group” etc that are very important for the Sales Processes and that we will be discussing these fields when the corresponding concepts will be discussed.

Scenario 1 : ABC Computers Inc Sells computers as discussed in the SAP Material Master Basic View Scenario. This scenario builds up on top of that. The company ABC Computers Inc, sells across the East Coast Sales Organization as well as the South Sales Organization. However, since the margins are too low in the South Sales Organization ( 1000/10/00 ) , the company has decided that they will only sell if the retailer ( Customer 1400 ) orders atleast 30 pieces of the material DIMOKK-17. All the materials that you created in the SAP Material Master Basic View scenario are commercials materials and are hence tax liable.

Question 1 : Change the material group in the Sales View of the Material DIMOKK-17 and see the effect of it on the Basic View. Describe what happened ?

Question 2 : Configure the minimum order quantity scenario. Can you force the SAP system to not create  orders at all if the minimum order quantity is NOT met ?

Scenario 2 : The company did some Sales Analysis and found out that a particular model of desktop ( DIMOLL-19 ) is not selling well and wishes to discontinue the product from April 1st, 2011.

Question 1 : Configure the material to discontinue from today and describe what happened when you created the order for that material ?

Scenario 3 : The company is doing some restructuring and decides to sell spare parts as well ( Like Hard Disks, RAM and other computer parts ). You were asked to create a material HDD250GB similar to DIMOKK-17, but since it could be used both as a Raw material for their finished parts ( Computers ) and sold as a separate part ( Finished Material ) , the company has decided to group it under finished products as well as Raw Materials.

Question 1 : Create a separate sales material group HDR ( Hard Disks Raw Material ) , and HDF ( Hard Disks Finished ) .

Question 2 : Configure the material HDD250GB with the sales material groups you created.

Scenario 4: For better reporting, the company has decided to use a hierarchical product structure/grouping for all their materials.

Question 1 : HDD250GB is a PC computer hardware drive. What Product Hierarchy would you use for this.. ?

Hint : You have not been taught how to create materials groups ( Groups 1 thorough 5 ) in the class. But this is a very common scenario in SAP, where in you would not know how to configure certain fields. SAP sometimes provides us a pointer as to where in the menu path  ( Under SPRO ) the configuration needs to be done. This will be discussed in the next class.

    Q1) When material group is changed in sales view it automatically changed the material group in basic view.
    Q2) Yes, you can update order qty 30 in Min order qty field in sales org view.
    Q3) System give a hard error and the reason for why the material is discontinued. error message “Material DIMOLL-19 has status: Technical Defect”

      Scenario 4 / Q1 : Yes Hardware is already created. PC , Computer Hard Drive could mean ( 00125 Hardware -> 00100 PC -> 0000130 Drive ) . As we discussed in the class, Product hierarchy is hierarchical.

    A few questions. need your help please.

    Q1. When I created material: DIMOKK-17-E1 in material master, during the process I selected Basic data 1 and 2, sales: sales org data 1 & 2. sales: general plant data, text data, foreign tade:Importe data, MRP 1, 2, 3 ,4 forecasting and some more views. But when I go back and check, I see only few views like basic,sales and WM…why?
    Q2. I am not sure if I am going blind or what… but I could not find anywhwere minimun order Qty set field and minimum delivery order Qtyset field. and same goes with product hierarchy.

      Q1. Selection alone is not sufficient. You have to maintain data. Did you maintain data in MRP1 , 2, 3, 4 views ? If you did not, SAP will not create these views and hence you will not see those views populated.
      Q2. Minimum Order quantity in the SAP Material Master is available in Sales Org 1 View. ( Scroll down to the bottom to the Quantity Stipulations section of the SAP Material master )

      Similarly, Product Hierarchy is available in Sales Org 2 view in the Grouping Terms section.

    Scenario 1:

    Ans1: Automatically Basic View Material group will also change after you change the Material Group in the sales view.

    Ans2: Change the Minimum order quantity to 30 in the Material Sales org.1 view

    Scenario 2:

    Ans1:Change the Dis-Spec-Status field in the Sales Org1 view of that particular material and give the date in valid from date field.

    Scenario 3:

    Ans1: Created Material ZHDR&HDF

    ERROR MESSAGES:
    Material NAV_DIMOKK-17 is not defined for sales organization 1000, distribution channel 10, language DE (it is saying that the material is not defined for Germany)
    and when i tried to change it, I get the following error message.
    Material not in sales org. 1000 distrib. channel 10 (when changing the Materilal Master)

    Scenario 2 : The company did some Sales Analysis and found out that a particular model of desktop ( DIMOLL-19 ) is not selling well and wishes to discontinue the product from April 1st, 2011.

    SCENARIO ONE

    Answer 1 = I created the material S-DIMOKK-17 using fields which did not include Sales View Field therefore when making changes to my material S-DIMOKK-17 the Sales Field do not appear in selection. So changes cannot be made in the Sales Fields.

    Question 2 : Configure the minimum order quantity scenario. Can you force the SAP system to not create orders at all if the minimum order quantity is NOT met ?

    Answer 2 : Yes you will be able to create an order if the minimum quantity is not met, you will get an message ” Take minimum order quantity * pc into account in item”
    press enter and save the document. The order is created

    Answer 1: My material SS-DIMOLL-19.
    I did the discontinue process through the easy access menu path
    Logistics–Material Manangment–Material Master–Material–Flag for Deletion

    Now at the point you get 2 options
    OPTION 1 = Immediately
    OPTION 2 = Schedule

    Option 1If you use immediately for material deletion you can the behaviour in the Sales Order a message will appear the material is marked for deletion. But the Sales Document can still be saved.

    OPTION 2 = Schedule deletion
    Enter the date the system will not accept present day ,it only will take the future date.
    Check the behaviour in the Sales Order and when save the document you get a message material is marked for deletion, but you can say the sales order

    I also found that it is vice versa ie as I changedn it back in Basic view it got changed in sales view also.

    ans1 : it will be changed in basic view too

    ans2: put minimum quantity restriction to 30

    ans3 : put validity date for april 2011 besides that you got to change x-distr status to 12 , d-chain status to 12

    ans4 : if we put today’s validity date i will not be available for future orders . it has no effect on past orders

    Hi Siva…I hv created the following three materials:
    DIMOKK-17-SHAH
    LIMOLL-13-SHAH
    DIMOLL-19-SHAH

    However when I am trying to create a standard order “OR” with one of these materials and customer 1400, I am getting the follwoing error:

    “Material is not defined for Sales Org 1000 Dist Ch 10 Language DE”

    Can u plz help as I am not able to create a Sales order! Thx and regards

    Ans: The material group is updated vice versa.

    Ans: Changed the minimum order quantity at the bottom sales view 1. Is there any other place to configure?

    Ans: couldn’t figure out where to configure the material Group. I added group 60 and 61 but those are displaced for sales org. 2.

    Question-1: Material group in Basic view also gets automatically updated when Material group is changed in Sales View.

    Question-2: Minimum order quantity can be set in Sales: Sales org:1
    I was able to configure the minimum order quantity scenario but when i tried to put in the order, it could not create an order. The error given is Material not defined for Sales org 1000, dist. channel: 10, Language DE.

    Scenario 2-

    Question-1: To configure the material to be discontinued from today, go to MRP4 and there is a tab for disconti. indication and the effective date. When i try to save this, it will not let me save till i input a “follow up material”. Most materials are not available for plant 1200 is the error i get. So i have not saved this work and neither can i create a sales order for it.

    Scenario 3-

    Question 1: Created material HDD250GB-PW.
    Question 2: Sales org 2 view: materials group- you can add different material groups.

    Scenario 4-
    Question 1: Created Product Heirarchy in Sales org 2 view.

    Ans2: Set the field ‘Min order Qty’ to 30 on the Sales view 1 tab. When entering a order a warning message is shown ‘ Take minimum order qty of 30pc in account in item 0010’. But could process and create order 14725.

    Scenario 2 Ans1: X-distr. Chain status field set to 01. To discontinue material from today’s date from all distribution channels. When tried to create a new order even when the material is discontinued the system gives a warning message but, you can still proceed. Created order 14726.

    Scenario 3 : Ans1: Created material groups HDF and HDR in spro, img menu.
    Ans2: Created material HDD250GB and added material groups HDR and HDF on sales view tab 2.

    A. If you change the mat.grp in the sales view it also changes in the Basic view.

    Answer: on material master sales org 1 view, insert 01 on field (X dist chanl. status), then insert April 01, 2011 on field valid from – Only receive warning error that material discontinued, but allow to save order 13423

    The Material Group value displayed on the basic view reflects the change made on the sales view.

    Question 2 : Configure the minimum order quantity scenario. Can you force the SAP system to not create orders at all if the minimum order quantity is NOT met ?

    I coded the item for a minimum order quantity of 30. When creating an order the user is warned that the minimum order quantity is 30 pieces. The user is then taken to the availability screen. The order is created. No delivery block, billing block or rejection reason values were observed.

    I am curious and suspect we can configure a delivery block for this that can be removed by a user if desired? I am thinking about a situation where orders from the customer are transmitted (i.e. EDI) and an orderly mechanism for the company to stop immediate processing and group blocked orders for review to appear on a list of blocked or delivery due orders

    Question 1 : Configure the material to discontinue from today and describe what happened when you created the order for that material ?

    The X-Distr chain field was set to a value of “01” (discontinue without replacement. When the order item and quantity are entered a warning message is displayed indicating the item was discontinued without replacement, but I was able to save and create the order. Even though there is no inventory on hand or on order there was a schedule line created with the requested future ship date. There is no delivery block, billing block or rejection message. I am again curious how this can be configured to conform to standard business requirements for transmitted orders (report the exception on a confirmation and short the order line)?

    Answer 1/2 – I created a material group 1 value of HLC (Hardware raw material LC) and assigned it to the product in the material 1 group field to support custom reporting. The HDF material group remained the primary material group assigned

    Question 1 : HDD250GB is a PC computer hardware drive. What Product Hierarchy would you use for this.. ?

    The original setting was Hardware/PC/Drive (00125/00100/00000130), I created a new hierarchy of Hardware/drive (00125/00130) because although related to PC’s as a component piece it is not a subset of PC’s as a group of products (like PC’s -> lap tops).

    Change of Material Group in Sales View also changes the material Group in Basic View. Any change in the Sales , MRP, Accounting view results in equivalent change in the Basic View.

    Question 2 : Configure the minimum order quantity scenario. Can you force the SAP system to not create orders at all if the minimum order quantity is NOT met ?
    A : No it cannot be forced. I was still able to create an order for 1 PC even though I had mentioned in the MMR that the min quantity for 1000/1000/10 was 30 PCS.

    Scenario 2 : The company did some Sales Analysis and found out that a particular model of desktop ( DIMOLL-19 ) is not selling well and wishes to discontinue the product from April 1st, 2011.

    If no posting blocks against billing document?
    If FI posting period is open?

    I have created material DIMOKK-12 with sales org 1000/10/00, I have set the min quantity and tried to create sales order but I cant create sales order, I get this error ” Material DIMOKK-12 is not defined for sales org.1000, distr.chan.10, language DE

    I created two Material group HDR_1(hard disks raw material) and HDF_1(hard Disks Finished) and try to assign with Material HDD250GB_1 in sales view2 area but some reason, I could not find my material group in that list.
    I have found in salesview1 and basicdata1 tabs but not in sales view2 tab.

    Please explain to me.

    Answer: No, you can not force the SAP system to not create order at all if the minimum order quantity is not met, but it will allow creating order with warning.
    Scenario 2: The company did some Sales Analysis and found out that a particular model of desktop (DIMOLL-19) is not selling well and wishes to discontinue the product from April 1st, 2011.
    Question 1: Configure the material to discontinue from today and describe what happened when you created the order for that material?
    Answer: Material master in basic Data 1 view changed field name: ”X-plant Mat. Status: Z1 (block per proctmnt/invt) and sales org 1 view changed field value: “X dist chanl. Status”-01(Disc. without replace) then put date on “valid from” field is 13.12.2011, only receive warning error that material discontinued, but allow to save order 15546
    Scenario 3: The Company is doing some restructuring and decides to sell spare parts as well (Like Hard Disks, RAM and other computer parts). You were asked to create a material HDD250GB similar to DIMOKK-17, but since it could be used both as a Raw material for their finished parts (Computers) and sold as a separate part (Finished Material), the company has decided to group it under finished products as well as Raw Materials.
    Question 1: Create a separate sales material group HDR (Hard Disks Raw Material), and HDF (Hard Disks Finished).
    Answer: Created HDR_1(hard disks raw material) and HDF_1(hard Disks Finished) material groups.
    Question 2: Configure the material HDD250GB with the sales material groups you created.
    Answer: Created HDD250GB_1materialwith HDR and HDF material groups.
    Scenario 4: For better reporting, the company has decided to use a hierarchical product structure/grouping for all their materials.
    Question 1: HDD250GB is a PC computer hardware drive. What Product Hierarchy would you use for this..?
    Hint: You have not been taught how to create materials groups (Groups 1 thorough 5) in the class. But this is a very common scenario in SAP, where in you would not know how to configure certain fields. SAP sometimes provides us a pointer as to where in the menu path (Under SPRO) the configuration needs to be done. This will be discussed in the next class.

    Ans: I had an issue while trying to change the data in the sales view. When I tried to change the material DIMOKK-17, first I did not find the sales views as I have created the basic views only. Now I extended this material to sales views and entered the data. This time the Material group was grayed as I am only extending and I believe during the extension, you can not edit the previously created views. *** Siva correct me if I am wrong.****** Now after extending I went to change mode mm02 and here I could change the data in Material group. Whatever you change in sales view it appeared in Basic and vice versa.

    Question 2 : Configure the minimum order quantity scenario. Can you force the SAP system to not create orders at all if the minimum order quantity is NOT met ?
    Ans: Yes It throws up a warning and if you persist it will allow you to go to the next step in order creation.

    I am lost in assigning material statuses HDR and HDF to the material HDD250GB. I created the material and in the material creation basic view I see place for one group and how can I assign the other one. I think I have to configure it somewhere in the IMG. Can you please let me know how to that.

      x-plant status is not required. It is generally used to set statuses to materials – For example if materials are phased out, then you can use cross plant status to set the same.

    When tried to save again a prompt “Save Incomplete Document” appears and another warning “Pricing error: Mandatory condition PR00 is missing” is shown in status bar.
    Order is saved. ( Order number 13885)

    Scenario 2.
    Q1.

    Changed X-Plant matl Status as follows
    BP – Blocked for Purchasing
    Was able to create and save Incomplete Order – 13886
    status bar showed “Pricing error: Mandatory condition PR00 is missing” warning

    Changed X-Plant matl status to 01 – Blocked for Procmnt/Whse

    Was not able to configure to the second group. When I select the same material number and FERT Material Type the system changes to raw material
