SAP Sales Order Processing ( Including Delivery Creation and Billing Document Creation )
  1. How do you find out the document flow associated with a sales document ?
  2. Create a standard sales order with the following details and give the SAP Sales Order Number ( All of the questions in this section refer to the Sales Order created in this question )
    1. Customer : 1400
    2. Material : M-01
    3. Quantity : 100
  3. Can you change the system proposed delivery date ?
  4. Can you change the delivery date at the line item level ?
  5. Find out the Net Price ( Before Tax ) for the SAP Sales Order you created in Question No.2 above
  6. Find out the Net Price ( After Tax ) for the SAP Sales Order you created in Question No.2 above
  7. Add another line item M-02 with a quantity of 200 to the sales order you created in questions no.2 above
  8. Now Reject the Line Item No. 10 for the sales order
  9. If you wanted to reject both line items 10 and 20 in one step ( instead of rejecting each line item individually ) can you do it ?
  10. What is the ‘Transportation Planning Date’ for the line item 20 ?

    Siva,
    Please reply on this first.

    when I tried to save the new SO, as per you excercise question #,
    it prompt me to select from option of two sales area…why
    I never had this before?
    and If I clicked on one line, and then clicked on save it gives me the error msg:
    ” reorder point for item 000010 has been exceeded: 60 PC ”
    so then I changed the quantity to 50 in my sales order. and try to save. it worked and
    created a sales # 13123.
    what bothered me also is ” req delivery date field has a value before I did anything?..why?

      1. We will discuss more on the multiple Sales Areas issue when we discuss the Customer Master in the next class.
      2. “Reorder Point…” is a warning based on the “Reorder Point” field in the MRP view of the Material Master. As of now you can ignore this message until we get to the material master session.
      3. Requested Delivery Date is always populated automatically. As discussed before, this is based on scheduling ( Backward Scheduling and if the date cannot be met, then forward scheduling ). We will discuss more on this in the Scheduling in SAP SD Class.

    I tried to creat customer master tonight. I was able to do general data and sales with using vd01.
    customer # 47859.
    but i could not do company code data. I clicked on the button…but it just a toggle between general and sales data. where is company code data. i tried to execute /xd02. but i could not find it. plz help.

    We created orders 13133 and 13134. We are not able to do the Transfer order before posting the goods issue. We are being asked to enter

    I have posted PGI for 13134. I believe the reason why this issue happened to you because is that you were trying to do a Transfer Order even though there was no need for you to. Here is how you need to analyze if you need to do a transfer order or not.

    Easy Way : Go to the Picking Tab in the Delivery. Is the Picked Qty open for input ? If yes, then you can directly enter the picked quantity and finish the delivery.

    Configuration : Go to Enterprise Structure and see if a warehouse has been assigned to the Plant/Storage Location combination. In this case for Order # 13134, the Plant is 1000 and the Storage Location is 0001. Check out if there is a Warehouse Number assigned to the Plant/Storage location combination in our SAP system and let me know. If the assignment is not made, then you do NOT need to a transfer order in SAP Delivery. If the assignment is made, then you need to do the Transfer Order.

    The items are technically shipped and billing can proceed

    20. What is the Transaction Code to create a Billing Document ?
    VF01

    No, complete delivery means that everything will deliver at once, however on the error log there is a green light next to the message stating ‘item delivery split because of different shipping points’

    29. Create a quotation with reference to the sales order. If you are not able to create, list the reason why ?
    No, copying from sales document to quotation isn’t supported. It doesn’t make business sense to create a quote referencing an order, that is moving backwards, typically one should create an order referencing a quote

    30. Can you create a sales order with reference to the delivery documents you created in Question No. 28 ? If not , list the reason why ?
    No, the option is not available, plus creating an order with reference to a delivery doesn’t make sense. A delivery is basically stating that items are available and ready to be shipped

      Net Price before tax can be found from the sub-total Net Value2/3 in the standard pricing procedure RVAA01. This really depends on the pricing procedure. Let’s discuss this in the class.

      NET30 means 30 days of credit
      NET0 means 0 days of credit , which is essentially pay immediate. So you can choose 0001 – Payable immediately due net. The reason why I say net is because,it is an industry standard terms. It means the customer will have to pay the net amount by so many days ( for example, net30 by 30 days ).

    Ans 4. By right clicking the transaction and Adding it as favorite or alternatively we can right click the Favorites folder and insert the transaction or another folder as favorite.

    5. How to find out the current transaction code ?

    Ans 5. By clicking on the status bar we will come to know the Transaction code we are currently working on.

    6. What is a Transaction code ?

    Ans 6. A transaction code is a code which launches the transaction that we need to work on. It is entered in the command field to start a transaction.

    7. What is the use of a Status Bar ?

    Ans 7. It provides us the status of the transaction and details about the system, user, client, SAP version and so on.

    8. How to get ‘help’ on a field on the SAP GUI ?

    Ans 8. By pressing F1 button.

    9. Can you log in without specifying the client number ?

    Ans 9. No we cannot.

      Q.7 – More importantly, the system status bar is used by SAP to give feed back to the users ( Like display error messages, warning messages, informational messages etc ). For example, the status bar is used to display the order number created( Informational ), or display the order number for duplicate PO ( warning ) etc.

    requested by him and if not on which latest date we can provide the maetrial.

    Goto -> Item view -> Schedule Lines -> Shipping Tab -> the various dates.

    Ans 19. During Post Goods Issue the Material Stock account and the Revenue accounts are affected by postings.

    Ans 25. Cannot deliver as the shipping points differnet for item line 50 and 70 and 60 cannot ve delivered as No schedule lines due for delivery up to the selected date.

    Ans 29. Copying from sales document type OR to QT is not supported – This is because a sales order is created from a quotation and this request is for a reverse document flow.

      Q.9 – To reject all the documents, click on the 6th button on the top ( the description should say – “Reject Document” ) . If will apply the reason for rejection to all the items in the sales order.

      I. The question here was – Can you reject all the line items in the sales order in one shot ? The answer to that question is “YES”. You can do it using reason for rejection at line item level. You can use this in situations where there are 400 line items in a sales order and instead of putting a reason for rejection for each item which takes a lot of time – You can instead put a reason for rejection at the header level which applies to all the line items.
      AC. We discussed as part of the Order to Cash cycle class that orders are created with respect to quotation and NOT vice-versa. There is not a business scenario that requires such a kind of configuration and hence not supported in SAP.
      AD. Once again, going back to the Order to cash cycle, deliveries are created with ref. to the order and NOT vice-versa. There is no business scenario that requires the other way round as discussed in the class.

      Additional Questions.

      c. PO Number is NOT a mandatory field typically. In case it is made typical using configuration , then enter some PO number. I have already discussed the significance of PO Number in the class.
      d. The billing date is redetermined if the schedule of delivery changes. For example of the delivery date has been redetermined because of some availability changes from let’s say Sep 12 to Oct 12, then obviously for all physical deliverable materials, the billing date will also change – Hint : Billing happens after delivery right ?
      e. You don’t SET split deliveries. You can create situations where deliveries are split. Examples are
      -> Change of Shipping Points
      -> Change of Plant ( which ultimately results in a different shipping point )
      -> Change of Shipping Conditions/ Loading Group ( which results in change of shipping point )
      -> Material availability changes ( Because of Backorder Scheduling )

    Ans: it was showing 0.00 and then I drilled in item line view for item 10 and in the Condition tab I put the price 200 in the amount column, it started to show details. net price in the condition value column shows 160,000 which is 200 X 80 and that is also visible at the top right on sales order header. However I took the item price back to 0 and then added the product M-02 and the net value figure became 196,140.00

    F. Find out the Net Price ( After Tax ) for the SAP Sales Order you created in Question No.2 above

    Ans: Complete, not Rejected. (though status tab under header view (in relation to all items) says overall status is partially rejected)

    Answer: Not possible, system displays error “copying from ZOR to QT is not supported” – The reason is because Order is subsequent doc after Ouotation, basically, quotation is before an order and not the other way round.

    30. Can you create a sales order with reference to the delivery documents you created in Question No. 28 ? If not , list the reason why ?
    Answer: No, The reason is because delivery is subsequent doc after Order, basically, delivery is copied from an order and not the other way round.
